Human Resources Specialist Job Description
Summary: This is a full-time position with benefits including health care coverage, paid time off, and matching 401k. This position reports to the Human Resources Director and will support the daily operations of the HR Department for a growing dermatology practice.

Essential Functions and Responsibilities
  • Provides clerical support to the HR department. Serves as initial contact for intake.
  • Maintains accurate and up-to-date human resource files, records, and documentation. Updates data within HR software.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and extreme confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Handles apparel orders for new hires and existing staff. Distributes orders once received.
  • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition, and staff celebrations.
  • Schedules phone and in-person interviews for Human Resource Director. Coordination of hiring process, including onboarding and orientation.
  • Maintains knowledge and understanding of laws and regulations.
  • Assists with preparation of monthly staff meetings.
  • Other duties as assigned
Qualifications
  • Required: High school diploma or equivalent; Excellent verbal and written communication skills; Excellent time management skills with the proven ability to meet deadlines; Strong problem-solving skills; Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy; Excellent organizational skills and attention to detail; Proficient with or the ability to quickly learn human resource information system (HRIS) and similar computer applications.
  • Preferred: At least one year of experience in a similar position; Thorough understanding of laws, regulations, and guidelines related to HR.

Physical Demands: Prolonged periods of sitting at a desk and working on a computer; Must be able to lift up to 15 pounds at times.

Work environment: Operates in a professional office environment; Work is primarily performed in an administrative office setting with occasional interaction in clinical areas; Requires frequent interaction with employees, applicants, and leadership, contributing to a collaborative and team-oriented culture; Fast-paced, growing organization that requires adaptability, professionalism, and a high level of discretion.
